You can designate the following information for each account:
Account name. An account name cannot have spaces or use symbols. You can type a period (.) between words. Example: john.smith. This becomes the name in the email address, i.e. john.smith@example.com. The account name must be unique in a domain.
Password. You will need to find out from the Global Administrator how the password rules were configured for your domain COS.
Require that passwords you set be changed when users log in the first time.
First, middle, and last name of the user.
Display name that is shown in mail addresses instead of the complete account name. This is the friendly email From name.
Canonical address. This is the address that is shown in the email From field. If the Canonical address field is empty, the account email address is used.
Account quota. Depending on your access privileges, you may be able to set the quota for accounts.
Contact information including phone number, company name, and address.
Alias addresses. An alias is not an account but an address that points to the account you created.
Forwarding addresses. As mail comes into this account, a copy is sent to the listed forwarding addresses.
Select Accounts, in the Navigation pane.
In the Accounts toolbar, click New. The New Account wizard appears.
The wizard steps you through a series of dialog boxes to set up contact information, mail aliases, forwarding information.
If your domain was configured to use more than one type of COS, when you open the account wizard, you see an Account Type section that lists the classes of service with the account limit for the domain. You must select a COS for the account.
As a minimum, you must enter an Account name, and a Last name in the Account Name section. The first name and last name you enter becomes the display name. This is the friendly name that appears in the From field of an email address. If you want a different display name, uncheck auto and type in Display name type the new name.
If you can set the Account quota, enter the mailbox size in the Account quota field.
If this account is to be available immediately after creating it, leave the Account status as Active.
Set the password based on your company policy. Select Must change password if users are required to set their own password after account creation. Contact you global system administrator for company password policies.
Select the time zone that this account is in. See Setting time zones for accounts.
In the Notes field enter the date the account was created and any other tracking description for this account. Click Next.
Enter the contact information, phone number, company name, address. This is optional. Click Next.
Define an email aliases for this account if there should be one. This is optional. Click Next.
If the user can set up email forwarding, check Allow the user to specify a forwarding address. If you don't the account to automatically save messages that are forwarded. check Don't keep a local copy of messages. You can also specify the forwarding address. This is not necessary as the user can do this from their Preferences tab.
You can set a forwarding address that is hidden from the user. Email messages are automatically forwarded and the user is not aware. Note the warning that if you enter an incorrect address the message can be returned to the original sender who would become aware of the hidden address.
Click Finish to save. The account is created with the features and preferences assigned from the domain COS. If the status is Active, the user can log in and start to send and receive email messages.
